One of the biggest annoyances from our clients is when our mail server is having a ‘bad day’. There’s nothing more important than having a stable email platform. There is of course the exception of e-commerce and adwords which are equally important but let’s pretend they don’t exist.

I’ve been hosting our clients’ emails for 10 years with different providers. We started with Fasthosts, just simple 10mb POP3 accounts but they don’t provide very good spam and virus filtering and they’ve had their fair share of nightmares. Over the course of our relationship with Fasthosts, they managed to get hacked via their SQL server and lost most of our emails through their third party cloud provider. Their support team are British and helpful, but they never virtualised their network and their back-end Matrix FTP and very basic DNS caused many complications.

We then looked at 1&1 which on the outset looked good, but to cut a long storey short, as soon as you ring their support which is in India, you’re well into a packet of paracetamol. Their control panel is clumsy and I just don’t think they’re set-up for advanced users.

So about 3 years ago, we decided to look into cPanel system which is great for resellers as it provides WHM which is a kind of GOD system for managing and controlling your client accounts. There are hundreds of providers who base their architecture on cPanel hosting. I have to say that most of these providers are in a very competitive environment and offer some crazy deals, which I’m glad to say I’ve taken advantage of. You can pick up, unlimited email IMAP accounts, with unlimited size, Spam Assassin, unlimited web hosting and unlimited MySQL databases, all for a fixed fee each month. There is however some risk involved with these budget hosting providers. Ours ins’t virtualised and in fact if it breaks (like it did last week) email, web and all DNS records completely disappear. This is obviously a little embarrassing. Fortunately, this is the first time it’s happened in 3 years.

There’s a few more annoyances which you should be aware of, Spam Assassin isn’t brilliant, it will only catch about 50% of your spam which for an assassin, isn’t a very good kill rate. Secondly when you buy cheap expect cheap support, usually via email only or on-line support chat. As long as you know what you’re doing, then hitting them continuously with a stick, usually yields satisfactory responses. Remember this is on a Linux system which is fundamentally, rock solid.

So in a nut shell, there’s no perfect solution to great reseller hosting, you can pay the big bucks and make no money from it, or you can put individual good elements together and make something yourself which will produce the same results and you keep the money!

There’s a few things you need to know before we start, We use a budget cPanel provider for our hosting and emails, do not use these people for your domains (DNS). You need a good DNS provided, now most of the big UK companies have this licked, so we use Fasthosts, their new control panel now allows for everything you need.

Pick yourself a good budget reseller hosting with unlimited everything. This is essential, pick a provider that can give you and your clients a private IP. This basically means your not associated with the other riff raff. There’s a thing called reputation and if everyone else on your server is spamming away, then you won’t be effected. If your reputation is poor then none of your emails will be delivered, it’s controlled much in the same way as blacklists. So now you have your very on private budget server.

The benefit of cPanel is that your clients have full control over their hosting. You can provide them with their own control panel. This allows them to administer their email, FTP, MySQL and domain (if you wish). This has enabled us to reduce the hours spent on administration.

Now before you create a million email accounts and then find that your Spam Assassin has only come to the battle with a banana, here’s a trick you might like to consider. Message Labs (now owned my Symantec) provides great spam filtering but will cost your client £3.50 per user per month. This won’t work on shared hosting as I explained in my previous article Message Labs and IMAP. There is however another solution, this should be provided as a upgrade to your existing hosting. You can pass your emails through a Google account and then forward it back to another ‘filtered’ account. It’s pretty simple to do, and will return excellent results.

So now we have our own private hosting, with unlimited everything, world class spam filtering but still don’t have great redundancy. This can easily be solved. If you know a little about DNS, you’ll know that MX provides the ability to try in a priority. Setting up a second MX record to another provided (we send ours back to Fasthosts) will pretty much guarantee you 100% uptime on your emails. So you can set-up a second cheap POP3 email account to catch emails which your budget server falls over. You can give your clients webmail access or even set them up with a second account. They won’t mind setting this up, knowing you’re giving them that extra level of redundancy.

Lastly, SMTP which using shared can sometimes be a bit of a clumsy hit and miss solution. There’s some great new free providers out there which will not only provide a lighting quick service, they’ll also track your opens and clicks just like in your mailshot servers. I like Mailjet, you can set-up your account in minutes and you can lock it down with a nice SPF and DKIM meaning that you can pretty much get 100% of any email through to your client.

If I have one last request, it would be to get your clients all using Thunderbird, not Outlook. It’s so much better (and free) and you can integrate Google calendars with their lightning and Google provider add-on.

If you’re like me then you’re probably responsible for running a fair few mailboxes for your clients. We’ve got our fair share of shared hosting service’s most of which are on a IMAP server.

We run our servers with a standard cPanel interface which comes with nice unlimited size mailboxes but only comes with spam assassin which (bless the old girl), tries to stop the wolf at the door but some of the more aggressive and intelligent techniques, fly straight past.

Most web masters would probably look into a full blown exchange server but in today’s world, lots of our clients love IMAP and really don’t want to use anything Microsoft anymore (sorry Bill).

I therefore looked into added message labs full service in front of my mail server. In principle it works perfectly well. We get the benefit of having cheap shared hosting, unlimited space with unlimited accounts with probably the best anti spam and virus on the market.

Although this might sound ideal, a word of warning. Let’s think that bill@acme.com is now pointing his mx to message labs and then message labs send the cleaned mail to my shared IMAP server.

If john@smith.com sends an email, and his domain has and SPF record which only allows his IP’s from the range in his TXT record (this would end with -all not ?all) then when message labs forward the email from john@smith.com to your shared hosting, your shared IMAP server will immediately check the SPF, sees that message labs outbound IP does not match any ip in the SPF, it will refuse to relay this message with a 550 SPF error.

I guess this is in effect masquerading but shared hosting might not allow any of this jigery pokery, so check first. You’ll notice these problems only with people who have strict SPF policies.

In a on going series of posts we are going to share with you some of the websites, apps and services we use everyday that make our daily tasks easier and increase productivity and efficiency. These productivity tricks or techniques are often referred to as life hacks.

In this first post we will take a look at some of the ways we have increased our productivity and efficiency using free apps and services on the web.

Drop Box

www.dropbox.com

If you find your self transferring files via memory stick or emailing files to people regularly Dropbox might make your life a bit easier. Dropbox gives you a place to store your files online which you can then share with other people. After you upload your files you can organise them into folders, rename them and share them with other people. You get 2GB of storage for free and everything is stored in the cloud so you can access your files from anywhere, even on your phone. We find Dropbox useful for sharing and receiving content and collaborating on projects with clients, we use it to store important files for presentations and meetings and we have also created an automated script that backs up some of our important databases and other files to our Dropbox folder.
Netvibes

Why spend the time checking 20 different websites when you can do it all from one place. The Netvibes dashboard is a collection of widgets that can be configured however you like, there are RSS reader widgets, weather widgets, calendars, notes, to-do lists, calculators, email and social networks. The RSS reader widgets are particularly useful, we add feeds from all of our favourite websites and then group related content into tabs. You can personalise the content of each widget from the colour, layout, position, columns and the number of stories shown to how much detail each widget shows, widgets also show how many unread stories you have which helps you keep up to date with content from each site. You can even share your Netvibes pages with other people that might find your content interesting. A very good example of how an organisation can utilise Netvibes to connect with an audience by aggregating a wealth of information to benefit the user can be seen here – http://leweb.netvibesbusiness.com/. Notes are organised in an email type interface allowing you to organise, tag, search and save notes, you can also share notes with other people. We use Evernote on iPad to take notes in meetings, on iPhone to jot down ideas when we are on the move and on our PC’s when we are back at our desks. No more emailing notes from one device to another or loosing scraps of paper. We wonder how we ever survived with out it. You can access your bookmarks from anywhere in any browser so it is especially useful if like us you switch between web browsers frequently. You can also access any tabs that you leave open remotely so for example if you were reading something at work you could access the tabs you left open on your work machine from home, you can also sync passwords between browsers so you won’t get caught out having to remember passwords for all of your favourite websites. Xmarks is a browser plugin available for IE, Firefox, Safari and Chrome, you can access your bookmarks without the plugin online by logging into your Xmarks account. If you suffer from information overload like us this is great for when you just haven’t got time to read something. We’re always spotting interesting links posted on Twitter and related links on blog posts but quite often were busy working or just haven’t got time to read them, with Instapaper you can save these pages for later when you have got time. Your reading list is accessible from anywhere so you can catch up with your reading on the bus, waiting for your train or at home. Sometimes its easier to send an instant message than tell someone the path to a folder, a long URL or login details for a site. Using Google Talk we can share information easily and instantly around the office, it also saves a lot of shouting across the room and needlessly interrupting people. You can also make free voice calls and video chat using Google Talk. As everything is in “the cloud” everyone’s calendars are always up to date, this also allows you to manage your calenders from anywhere, so if you are at a meeting you could add an item to your calendar and everyone that subscribes to that calendar would be updated. Some other cool features include reminders that you can choose to be notified by email or get a text message, send invitations and track RSVP s and invite other people to events on your calendar. That’s it for now, we hope you will find some of these services useful and remember they are all free to use so why not give them a try. In our next post we will be looking at smartphone and tablet apps to improve your productivity.

New and innovative websites are being created every day, pushing the boundaries of HTML in every direction. HTML 4 has been around for nearly a decade now, and publishers seeking new techniques to provide enhanced functionality are being held back by the constraints of the language and browsers.

To give authors more flexibility and interoperability, and enable more interactive and exciting websites and applications, HTML 5 introduces and enhances a wide range of features including form controls, APIs, multimedia, structure, and semantics.

Work on HTML 5, which commenced in 2004, is currently being carried out in a joint effort between the W3C HTML WG and the WHATWG. Many key players are participating in the W3C effort including representatives from the four major browser vendors: Apple, Mozilla, Opera, and Microsoft; and a range of other organisations and individuals with many diverse interests and expertise.
